Position Outline
The Quality Assurance & Administration Specialist is responsible for implementing, maintaining, and improving the Quality Management System (QMS) in line with BRC standards and regulatory requirements. This role manages daily quality operations, oversees documentation, ensures compliance, and supports both internal teams and external partners across the supply chain.
Key Responsibilities
Quality Management & Compliance
- Implement, maintain, and continuously improve the Quality Management System (QMS) in alignment with BRC standards and regulatory requirements.
- Conduct internal audits and routine quality inspections to ensure adherence to BRC standards and internal procedures.
- Prepare for and support external audits, including BRC audits, supplier audits, and regulatory inspections.
- Ensure compliance with food safety regulations and internal quality systems.
- Develop, review, and maintain Standard Operating Procedures (SOPs), ensuring all non‑quality SOPs align with existing quality systems.
Quality Operations & Documentation
- Take ownership of daily management and review of Certificates of Analysis (CoAs) for raw materials and finished goods.
- Make stock release decisions based on quality, compliance, and risk assessment to maintain food safety and supply continuity.
- Manage high volumes of non‑conformance reports (NCRs), including investigation, corrective actions, and follow-up.
- Maintain accurate and up‑to‑date quality documentation, registers, traceability records, and compliance data for manufacturers and customers.
- Monitor and analyse quality data, trends, and performance metrics to identify risks and improvement opportunities.
- Prepare quality reports, audit findings, and corrective-action summaries for management review.
Stakeholder Management & Collaboration
- Work closely with contract manufacturers, suppliers, and internal teams to resolve quality issues and ensure compliance.
- Run meetings and onboard new suppliers from a quality perspective.
- Effectively manage challenging stakeholders through clear communication, proper documentation, and adherence to agreed processes.
- Provide training and guidance to internal staff on food safety, quality procedures, and system requirements.
Systems, Processes & Administration
- Use internal systems and spreadsheets to manage quality workflows, traceability, and reporting efficiently.
- Support innovation and continuous improvement programs by embedding quality and compliance considerations early in new initiatives.
- Perform other role‑specific duties as they arise.
Requirements
- Bachelor’s degree in Food Science, Food Technology, Microbiology, or a related discipline.
- Must have 3+ years’ experience in Quality Assurance within the food industry, including exposure to raw materials and supply‑chain quality.
- Previous experience in a QC or QA role in a food manufacturing or food‑supply environment.
- Strong understanding of food safety regulations, BRC standards, and quality management systems.
- Ability to manage high-volume and repetitive QA tasks with strong accuracy and attention to detail.
- Highly process‑driven approach with a practical mindset toward system implementation and continuous improvement.
- Advanced Excel skills, with confidence in managing complex operational spreadsheets.
- Experience using MRP/ERP systems; exposure to Invet Qblue or similar systems is highly regarded.
- Strong problem-solving and decision‑making skills, especially around stock release and non‑conformance management.
- Excellent written and verbal communication skills, with the ability to engage professionally with suppliers, manufacturers, and internal teams.
